How to Buy Tax Free Alcohol

Effective April 1, 2008, Property Management will implement a new alcohol ordering process.

All orders for tax free alcohol must be submitted by 4:00pm on Mondays in order for your request to be delivered on Thursday of the same week. Property Management will no longer stock tax free alcohol for next day delivery.

"Tax-Free" means that the University has an approved Industrial Alcohol Permit from the US Alcohol and Tobacco Trade Bureau (TTB formerly known as Alcohol Tobacco and Firearms - ATF) to purchase alcohol free of the Federal Alcohol Tax. However, a purchase is still subject to California Sales Tax.

ADDITIONAL CHANGES:

• If the total order from campus departments for the week is less than 20 gallons, a $60 freight charge is assessed.

• We will avoid the freight charge by ordering tax-free alcohol the following week. If the order(s) of less than 20 gallons are critical to the ordering department and are unable to wait a week, we will place the order and add the $60 freight charge to those orders.

How to Order

By Fax:

Complete the Interoffice Order Form (IOC), available online on the Campus Recharge Information Home Page.

1. Click on Forms & Templates under the heading Other Recharge Links.
2. Click on the last line, Interdepartmental Form (Excel) and Instructions (Word) to access the current forms as determined by the Controller’s Office.

• Originating department name
• Authorized custodian name and approval signature
• Your department’s delivery address
• Department contact and telephone number
• The alcohol item(s) with catalog number(s), and number of each (i.e., 3 units of 4 1-gallon cans per case).
• Departmental chart string

By E-mail to centdist [at] berkeley [dot] edu including:

• Email approval documentation from Department Supervisor to you authorizing the purchase
• List of alcohol item(s) you want to order including catalog number(s) and number of each (i.e., 3 units of 4 1-gallon cans per case).
• Originating department name
• Authorized custodian name and e-mail approval
• Your department’s delivery address
• Department contact and telephone number
• The desired product(s), catalog number(s), and number of each i.e., 3 units of 4 1-gallon cans per case).

When to expect delivery:

Billing:

Administration of tax-free alcohol is a recharge service. Monthly activity will be provided through a web-based application. You will be notified of the availability of your monthly activity data through email.

Emergency Orders of Tax Free Alcohol:

In the event of an emergency, (Ex; alcohol spill resulting in the potential loss of research materials, etc.) Gold Shield Distributors can fill a rush request. Emergency orders for Tax-Free Alcohol must be ordered by noon for a next business day delivery. Emergency orders will be charged $65.00 delivery fee by Gold Shield.
